ChaufferDesk Terms of Service
Last updated: 23 September 2026
1. About these Terms
These Terms apply to your use of the ChaufferDesk platform at app.chaufferdesk.com, the ChaufferDesk API and any related services (together, the "Service"). "You" or "Customer" means the business that signs up for the Service.
The Service is provided by Alpha Bytes (SMC-Private) Limited, trading as Byte Solutions ("we", "us", "our"). Full company details are in section 17.
Your data is hosted in Germany, and these Terms are governed by the laws of England and Wales. If you have any questions, contact us at support@chaufferdesk.com.
2. Business use only
The Service is designed for businesses that operate chauffeur, executive car or private hire services. It is not offered to consumers. By accepting these Terms, you confirm that you are acting on behalf of a business and that you have authority to bind that business to these Terms.
3. Orders and payment
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
Our plans, prices and plan limits are shown on our pricing page at chaufferdesk.com. All prices are in pounds sterling and exclude VAT. VAT and any other applicable taxes are added at checkout where required.
Subscriptions are billed monthly in advance and renew automatically each month until cancelled.
A one-time onboarding fee is payable when you first subscribe. It covers setting up your account and the initial import of your vehicles, drivers and related records, as described on our pricing page.
Each plan has a maximum number of vehicles. If your fleet grows beyond your plan's limit, you will need to move to the appropriate plan before adding more vehicles.
We may change our prices by giving you at least 30 days' notice by email. Price changes apply from your next billing period after the notice period ends.
Enterprise customers may agree separate pricing and terms with us in writing. Where those terms conflict with these Terms, the written agreement applies.
4. Cancellation and non-payment
There is no minimum contract term. You can cancel at any time, and cancellation takes effect at the end of your current billing period.
If a payment fails, you have a 3-day grace period to update your payment details. After that, access to your dashboard will be suspended until payment is made. Your data is not deleted during a suspension. If payment remains outstanding for 30 days, we may terminate your account.
Refunds are covered by our Refund Policy at chaufferdesk.com/refunds.
5. Your account and users
You are responsible for the users you invite to your account, including admins and drivers, and for all activity carried out under your account. You must keep login details secure and tell us promptly if you believe your account has been accessed without permission.
6. Your data
You own the data you put into the Service, including bookings, client details, driver and vehicle records and invoices ("Customer Data"). You give us permission to host, process and display Customer Data only as needed to provide the Service to you.
Where Customer Data includes personal data, we process it on your behalf under our Data Processing Agreement at chaufferdesk.com/dpa, which forms part of these Terms. You are responsible for having a lawful basis to collect and use that personal data, and for giving your passengers, clients and drivers the privacy information the law requires.
While your subscription is active, and for 30 days after it ends, you can ask us for an export of your Customer Data. After that period we will delete Customer Data within 90 days, except where we are required by law to keep it. Copies in backups are removed as those backups expire.
7. What the Service does and does not do
Please read this section carefully.
Fare suggestions. Fare suggestions are estimates based on the rates you configure and third-party route data. They are suggestions only. You decide and are responsible for the prices you charge your clients.
Compliance tracking. The Service records the dates and details you enter for items such as MOT, PHV licences, insurance, road tax, DBS checks and driving licences, and may use public data sources such as DVSA MOT history where available. It is designed to help you spot upcoming expiries. It does not replace your own legal obligations. You remain fully responsible for making sure every driver and vehicle is properly licensed, insured and roadworthy before any journey, whether or not the Service shows a warning or block.
Flight information. Flight status data comes from third-party providers and may be delayed, incomplete or inaccurate. Please check critical flight details directly with the airline or airport.
Invoices. Invoices are generated from the job records in your account. You are responsible for checking that invoices are accurate before sending them and for your own tax obligations to your clients.
Bookings. You are responsible for reviewing, accepting or rejecting bookings and for carrying out the journeys you accept.
8. Acceptable use
You must not:
- use the Service for anything unlawful
- try to access another customer's data or any part of the Service you are not authorised to use
- upload malicious code or interfere with the Service's security or performance
- copy, reverse engineer or resell the Service without our written permission
- bypass rate limits or use the API in a way that places an unreasonable load on the Service
- store more sensitive personal data than you need. For DBS checks, record completion and expiry dates only, not certificate contents or results
9. Availability and support
We make reasonable efforts to keep the Service available and working properly, but we do not guarantee it will be uninterrupted or error free. Where practical, we will give notice of planned maintenance.
Support is provided by email at support@chaufferdesk.com between 9am and 7pm UK time. Customers on the Fleet plan receive priority support.
Parts of the Service rely on third-party services such as Google Maps, flight data providers and DVSA. We are not responsible for their availability or accuracy.
10. Changes to the Service
We regularly improve the Service and may add, change or remove features. We will not materially reduce the core functionality of your plan during a billing period you have already paid for.
11. Intellectual property
We own the Service, including its software, design and branding. These Terms give you a right to use the Service during your subscription and do not transfer any ownership to you. If you send us feedback or suggestions, we may use them freely.
12. Confidentiality
Each of us will keep the other's confidential information private and use it only for the purposes of these Terms, except where disclosure is required by law.
13. Liability
Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited or excluded by law.
Subject to that, we are not liable for any indirect or consequential loss, or for any loss of profit, revenue, business, contracts, goodwill or anticipated savings.
Subject to that, our total liability to you under or in connection with these Terms in any 12-month period is limited to the total fees you paid for the Service in the 12 months before the event giving rise to the claim.
14. Suspension and termination
We may suspend your access if you do not pay, if you breach these Terms, or if we reasonably believe your use poses a security risk to the Service or other customers.
Either of us may terminate these Terms if the other commits a material breach and does not fix it within 14 days of being notified.
15. Changes to these Terms
We may update these Terms from time to time. We will give you at least 30 days' notice by email of any material change. If you continue to use the Service after the change takes effect, the updated Terms apply.
16. General
These Terms, together with our Data Processing Agreement and Refund Policy, are the entire agreement between us about the Service.
Neither of us is liable for delays or failures caused by events outside our reasonable control.
You may not transfer your rights under these Terms without our written consent. We may transfer our rights to a business that takes over ChaufferDesk.
If any part of these Terms is found to be unenforceable, the rest remains in effect.
We may send notices to the email address on your account. You can send notices to support@chaufferdesk.com.
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
