ChaufferDesk Privacy Policy

Last updated: 23 September 2026

About this policy

This policy explains how ChaufferDesk collects, uses and protects personal data. ChaufferDesk is provided by Alpha Bytes (SMC-Private) Limited, trading as Byte Solutions ("we", "us", "our"). Full company details are at the end of this policy.

In short: ChaufferDesk's application data is hosted in Germany, your rights under UK data protection law apply, and we never sell personal data. For any privacy question, contact privacy@chaufferdesk.com.

Two kinds of personal data

1. Data about our customers and website visitors. When you visit chaufferdesk.com, contact us, or sign up for ChaufferDesk, we decide how your personal data is used. We are the controller for that data, and this policy explains how we handle it.

2. Data that operators store in ChaufferDesk. Chauffeur operators use ChaufferDesk to manage bookings, passengers, drivers and vehicles. For that data, the operator is the controller and we process it on their behalf under our Data Processing Agreement. If you are a passenger or driver, please contact the operator you deal with about your data. If we receive a request from you directly, we will pass it to the relevant operator.

What we collect

  • Enquiries. Details you enter in our website form or send by email, such as your name, email address, phone number, company name, fleet size and message.
  • Account details. Names, email addresses, phone numbers and roles of the people who use your ChaufferDesk account.
  • Billing details. Payments are handled by Paddle, our Merchant of Record. We receive limited information from Paddle such as your name, company, billing address, VAT number and transaction history. We never see or store your card details.
  • Communications. Emails, calls and notes from demos or support conversations.
  • Technical data. IP address, browser and device information, log data, and error reports when something goes wrong in the app.

How we use it

  • To respond to enquiries and discuss whether ChaufferDesk suits your business (our legitimate interests, and steps taken before entering a contract)
  • To provide the Service, manage your account and send service emails (performance of our contract with you)
  • To handle billing and keep financial records (contract and legal obligations)
  • To keep the Service secure, prevent misuse and fix errors (our legitimate interests)
  • To send occasional updates about ChaufferDesk to business contacts (our legitimate interests). You can opt out at any time

We do not sell personal data.

Who we share it with

We share personal data only with providers who help us run ChaufferDesk, and only as needed:

  • Hetzner Online GmbH, application and database hosting (Germany)
  • Vercel, website hosting (United States)
  • Sentry, error monitoring (United States)
  • Google, business email, sending service emails such as booking confirmations and invoices, and address lookups (United States)
  • Paddle, payments and billing. Paddle acts as an independent controller for payment data under its own privacy policy

We may also share data with professional advisers, with authorities where the law requires it, or with a buyer if ChaufferDesk is sold.

International transfers

We are based in Pakistan. ChaufferDesk's application data is hosted in Germany, and our team accesses it from Pakistan. Some of our providers are in the United States.

When personal data from the UK or EEA goes to a country that does not have an adequacy decision, we use appropriate safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for a copy.

How long we keep it

  • Enquiries: up to 24 months after our last contact, unless you become a customer
  • Customer account data: for as long as your subscription is active, and then as long as needed to meet legal and accounting obligations, which can be up to 6 years for billing records
  • Technical logs and error reports: up to 90 days

Your rights

Under UK data protection law you have the right to access your personal data, to have it corrected or deleted, to restrict or object to its use, to data portability, and to withdraw consent where we rely on it.

To use any of these rights, email privacy@chaufferdesk.com. We will respond within one month.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to resolve your concern first.

Cookies

The ChaufferDesk app uses a strictly necessary cookie to keep you logged in securely. Our website does not use analytics or advertising cookies.

Security

We protect personal data using encrypted connections, access controls, separation of each customer's data, and regular backups. No system is completely secure, but we take reasonable steps to protect your data and will notify you and the relevant authorities of any breach where the law requires it.

Children

ChaufferDesk is a business service and is not intended for anyone under 18.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. We will notify customers of significant changes by email.
